Which Option to Choose?
Choose to delete a resource if:
You are certain the user will never need to access the system again.
Choose to put as resource inactive if:
The user is seasonal.
The user is on extended leave, on sick leave, etc.
You may need to reinstate the user in the future.
You're not sure whether you want to permanently remove the user and would like a reversible option.
🔹 Setting a user inactive
Pros:
Reversible: You can reactivate the user later if needed
Preserve Data: The user's data, history, and contributions remain intact, ensuring continuity in records and operations.
Access control: Make inactive prevents access to the system.
Cons:
A priori, there are no disadvantages apart from the fact that the user could be reactivated inadvertently or by a voluntary but undesirable action.
How to:
From the Visits grid:
Filter a list of visits assigned to the resource you are looking to put inactive
Select all visits. On the orange band, remove the resource and then assign the new resource
On the Plannit Settings under Resources
Click on the name of the resource and under Status set to Inactive.
🔹 Deleting a user
Pros :
Prevent future access: The user will never be able to login or access the system again.
Cons:
Irreversible: The operation is irreversible; a new account must be created, and therefore a new entity in the system (in other words, recreating an account does not give the user back access to the old notifications and items in the system associated with the old account).
Impact on management: If your current operations are still assigned to the deleted user, some views prevent the display or filtering of deleted users.
