Link your invoices to the right job

Plannit automatically assigns a Job folder to each of your customer requests. Once the request has been created, you simply refer to the Job folder to attach your documents, including invoices, so that everything is centralized in the right folder.

Here are 4 tips for linking your invoices to the right job folder, depending on your operations:

💡 Tip

If applicable, it's highly recommended to automate the production of your invoices at the time of submission approval. These will only be sent on the date of your choice, but you'll save considerable time by eliminating paperwork steps. To activate automatic invoice generation from the quote, see Quote parameters.

Link an invoice to the same job as the quote

Open your quote and in the Invoices tab you can create invoices linked to the same job folder as the quote.

If you have not opted for the option to generate your invoices automatically when the quote is approved, simply open the quote and click on the Actions menu followed by Generate invoices. The invoices for this quote will be automatically generated according to the quote's payment schedule:

Link an invoice to a work order

If your technicians invoice after the job, they can simply click on Add invoice from the work order.

  1. Create an invoice in just a few clicks by adding the Add Invoice add-on to the work order.

  2. Select the option between add a previously created invoice to attach to the work order / visit or Create an invoice.

    Note: If no invoice is linked to the Job folder, the system automatically creates a new invoice.

💡 Tip

Your technicians can also take payment manually, in front of the customer, if required (see How to pay an invoice manually).


Link an invoice to a job

For multi-stage jobs with multiple invoices, simply click on the Invoices icon from the Job Space linked to the project to add an invoice.

To open the Job Space, open a Job in the Jobs tab.

Note: You must be in the Job Space and not the Customer Space of a contact.

Link an invoice to a customer at the customer creation stage

If the first step in your process is to send an invoice to the customer, you can also create the request via the contact tab, by clicking on the Invoices icon from the contact's Customer Space.


Note

If your contact already exists, you may be asked to select a Job if you already have jobs open for this contact, or to create a new Job.
