Procedure for exporting Plannit transactions for import into Sage 50

Check Before Exporting

Make sure that all invoices for the month have an invoice date. The absence of an invoice date will prevent the transaction from being exported from Plannit to Sage 50.

Exporting transactions from Plannit

In Plannit, click on Transactions

💠 Filter transactions

  1. Click on Filters.

  2. Enter the desired period in the Transaction date field (e.g. start of the period (Sept 1) and current day (Oct 22) as there may be transactions that were made in the subsequent month but for a previous period. It is therefore essential to import them).

  3. Click Apply to view transactions for this period.

💠 Select transactions for export

  1. Check all the transactions to be exported by ticking the box in the top left-hand corner.

Note

  • Transactions to export represent all transactions that have not already been exported.

  • Please note that even if the transactions apply to different accounting periods, the export of transactions in Sage 50 will be done in the accounting period indicated to the right of the transaction.

💠 Export data

  1. Click on the Export button.

  2. The file containing the transactions will be automatically downloaded to your computer (import.txt).

Here is some additional information about the export file:

  • The .txt file is downloaded to your computer.

  • Retrieve it from your downloads. Ex: Sage 50 GL.txt

  • You can open it to check if you need to make any manual changes before importing.

    Here's an example file:

  • If you want to change account numbers or delete part of the entry altogether, you can do so directly in the txt file.

Importing data into Sage 50

👉 The exported file must be named import.txt to be compatible with Sage 50.

💠 Import the transaction file

  1. Open the Sage 50 software.

  2. Go to File / Import/Export / Import transactions.

  3. Choose Import general journal entries into Sage 50 and click Next>.

  4. Make a backup copy of your data if you wish. Then click on Next>.

  5. Select the file generated in Plannit. Ex: Sage 50 GL.txt

    1. Click on Browse... and go to your download folder.

    2. Select the file generated in Plannit and click Open.

  6. The selected file appears. Click on Next>.

💠 Import verification

Review the import log for any errors.

You have an error:

  1. In the event that the wizard indicates that there are errors, be sure to click CANCEL so that no transactions import into Sage 50.

  2. Return to your file to correct your errors and save your new file.

  3. Repeat Step 1 above to import your file.

No errors:

  1. Click OK and Finish to close the wizard and proceed with importing into Sage 50.

ℹ️ If you find that you're missing certain invoices or payments on invoices, don't worry! You can export the missing data from Plannit to Sage 50 again. You can then import this new file into your Sage 50.

Step 3: Verifying imported transactions

💠 Access the Ledger entries

  1. In your Sage 50, select Report

  2. Select List of journal entries

  3. Here's the information you'll find in each entry:

    1. Import date

    2. Invoice number (from Plannit)

    3. Customer name

    4. List of General Journal (GL) accounts, amounts (DR or CR)
