Create a quote / contract template

You can create a basic quote template in Plannit's quote settings to avoid having to retype basic information each time you create a new quote. (see Quote Settings for more information).

However, if you have different types of quotes/contracts with clauses different from those included in your basic template, you have the option of creating additional templates which can be re-used i.e. created and sent in 2 clicks, to save you time as follows:

Create a quotation/contract template

  • From the quotes tab, click on "+Quote".

  • Click on "Create contact

  • Fill in the "First name" field with the name of your contract. e.g.: ANNUAL SNOW PLOWING CONTRACT 2023

  • Click on "Save

Back to your quote window, click on "Create a quote"

Fill in/modify the following sections as required:

  • Section 2: Insert items (products and services) for this type of contract

  • Section 3: payment schedule if different from the default set in your quote parameters (click to learn more about payment schedules)

  • Section 5: notes specific to this type of quotation

  • Section 6: terms and conditions specific to this type of submission

Note: If your text is too long or does not edit properly in your terms and conditions window, please enter it first in your quote settings and then create your quote template.

Once done, this "Template" will appear in your quotes grid in draft status, and you'll be able to use it as often as you like.

Using the Quote template

Search by template name in the search bar in the submission grid, select the desired template by clicking to open the window, then click "Copy" (see image).

Select/create your contact and press "Create quote".

The quote with all the template information will be automatically created and ready to be sent to the customer for approval.

NOTE: Once the template has been copied, you can make changes to it as required, without affecting the template.
