Create tags to filter your business information

Labels help you filter the data to easily access the information you need to manage your operations more efficiently and/or report on it to make better decisions. Tags can be attached to contacts, quotes, invoices, or visits.

Creating new labels

Labels can be managed from the “Settings”, in the “Labels” section. From there, you can easily add with "+Tag" or delete with the "trash can".

Tips

When creating a large number of labels, assigning colors can visually help categorize the information to make it easier to work with.

Types of labels

Below are some examples of why and how some of our clients use labels for your review, in case they may apply to your operations:

Contacts tags:

  • To assign service levels: "VIP", "Basic Plan", etc

  • To differentiate service type: "Residential", "Commercial", "Subcontracting," etc.

  • To create routes: "Zone A", "Region 4", “Sector A”, "Annual", "monthly", "Fall", "Spring", "Grass maintenance", "traps in place", "Fertilization", etc.

  • To track lead source: "Google ads", "SEO", "XYZ promotion" etc.

  • For warranty and recall purposes: "Maytag E345", "1 year warranty", etc.

  • etc.

Visits tags:

  • For external project steps you depend on: "Waiting for permit", "waiting for architecture plans", "sent for assembly", etc.

  • For Project status: "On hold", "Ready to go", etc

  • For Equipment information: "Maytag", "Black and Decker", etc

  • Etc.

Quotes tags:

  • To track renewal status: "Renewal 2022", "New Client", etc

  • To calculate 3rd party commissions: "External vendor 3", "Supplier A", "sub-contractor XXX", etc

  • To track warranty type: "1 year warranty", "2 year service agreement", etc

  • To cross-sell: "Snow removal customer", "Fertilization customer", etc.

Invoices tags:

  • To track promotional offers: "2021 Contest Winner", "Coupon", etc

  • To calculate 3rd party commissions: "External vendor 3", "Supplier A", "sub-contractor XXX", etc

  • To track collection status: "Referred to collection agency", etc

  • Etc.

Adding the same label to several contacts in bulk

If you want to add a tag to several quotes or invoices all at once, it is possible to do so in batch, from the "Quotes" or "Invoices" tab as follows:

For example, if you want to assign a label "Winter 2021" to all your "Accepted" quotes with a quote item of "Snow removal contract",

  1. Click on "Filters" to open the window;

  2. Make your selection of quote status (e.g. "Accepted") and "Snow removal contract";

  3. Select the quote dates (e.g. October 1 to December 15);

  4. Add a filter for the quotes with the "Snow removal" item;

  5. Apply the filters to get the list;

  6. Click on "Add" and select the label you want to add to each quote on your list.

Add a label to a work/visit order:

To add a label to a work order, simply select the option in section 2. Additional modules" of the work order as follows:
